Start and Manage Conversations

How to communicate with employees through the LysisAI Platform.


What are Conversations?

Conversations enable direct communication between clients and employees:

  • Quick inquiries about documents or tasks
  • Status updates and notifications
  • Secure communication - All messages are encrypted
  • Traceable - Complete history of all conversations

Prerequisites

Before you begin

  • You are logged in (as client or employee)
  • As employee: You are assigned to at least one client

Start New Conversation

Step 1: Open Conversations Area

  1. Click Communication in the left navigation
  2. Select Conversations from the menu

Step 2: Create New Conversation

  1. Click New Conversation in the top right
  2. The creation dialog opens

Step 3: Set Recipient and Subject

  1. Select Recipient:
  2. As Client: Choose an assigned employee
  3. As Employee: Choose one of your clients

  4. Enter Subject - Brief description of the issue

  5. Write Message - Describe your concern in detail

Step 4: Send Conversation

  1. Optional: Attach File (e.g. screenshot, document)
  2. Review all information
  3. Click Send

The recipient receives a notification and can reply to you.


Reply to Messages

Receive New Message

When you receive a new message:

  1. You see a notification in the navigation bar (red dot)
  2. Optional: You receive an email notification (depending on settings)

Write Reply

  1. Open the conversation from the list
  2. The entire message history is displayed
  3. Scroll down to the reply field
  4. Write your reply
  5. Optional: Add files
  6. Click Reply

Real-time Updates

New messages appear automatically without reloading the page.


Manage Conversations

Conversation List

The conversation list shows:

  • Subject - Topic of the conversation
  • Participants - Who you are communicating with
  • Last Message - Preview of the latest message
  • Timestamp - When the last activity was
  • Status - Unread (bold), Read (normal), Archived

Filter Conversations

Filter conversations by:

  • All - All your conversations
  • Unread - Only unread messages
  • Archived - Completed conversations
  • Participants - Filter by specific person

Archive Conversation

To archive a conversation:

  1. Open the conversation
  2. Click Archive (folder icon)
  3. The conversation disappears from the active list

Files in Conversations

Attach File

  1. Click the paperclip icon next to the message field
  2. Select a file from your computer
  3. Supported formats: PDF, Images (JPG, PNG), Office documents
  4. Maximum file size: 5 MB

View Attached Files

All files shared in a conversation are summarized at the top:

  1. Click Show Files (paperclip icon at top)
  2. See all shared files chronologically
  3. Download files directly

As Employee: Client Conversations

As an employee, you manage conversations with your assigned clients:

Select Client

  1. Select the Client from the dropdown list in the top right
  2. See all conversations with this client

Prioritization

Mark important conversations:

  1. Click the star icon next to a conversation
  2. Marked conversations appear at the top

Notification Settings

Customize how you are notified about new messages:

  1. Go to Settings → Notifications
  2. Real-time Notifications - Popup in the application
  3. Email Notifications - Optional: Email for new messages
  4. Notification Frequency - Immediately, Summary (daily), Never

Tips for Effective Communication

Tip Description
Clear Subject Summarize the topic in a few words
Brief and Precise Write clearly and to the point
Relevant Files Attach documents instead of describing them
Respond Promptly React within 24 hours
Stay Professional Professional communication builds trust

Privacy and Security

Confidentiality

  • All conversations are end-to-end encrypted
  • Only conversation participants can read messages
  • Administrators have no access to message content
  • All communication is logged for security reasons (who when with whom - not the content)
